The Human Resource Specialist
ensures HR processes run smoothly and efficiently, including monitoring tasks and processes to streamline and maximize the efficiency of HR operations. The HR Specialist is the first point of contact for the department’s day-to-day employee inquiries and supports the overall maintenance and administration of the HR function at the Corporate office. The responsibilities will include but are not limited to HR, Payroll and Benefits Administration. The incumbent must have the ability to perform productively in a fast-paced work environment; the ability to work well independently; be able to multi-task and juggle competing priorities and ability to maintain confidentiality.
DUTIES AND RESPONSIBILITIES:
Human Resources Administration
Serves as a point of contact for HR related matters and support multistate employees.
Demonstrate the ability to handle pressure when attempting to meet deadlines and performance goals.
Initiate and maintain all employee file records including but not limited to; status changes, performance and employee evaluations in accordance with all local, Federal and State Regulations.
Maintains the hiring processes including but not limited to reviewing, revising and posting job requisition, interviewing qualified candidates and processing background checks and drug screens from internal and external job portals.
Assists in recruitment efforts by maintaining applicant tracking for all roles, working closely with the managers to stay updated on staffing needs and attracting valuable talent.
Utilize traditional and non-traditional resources, such as career fairs, online job fairs, social media, and community network events, etc. to attract and identify quality candidates.

Executes on boarding program for new hires; ensures compliance to all federal and state regulations.
Answer and respond to department telephone calls and email inquiries on HR related matters.
Maintains and responds to I-9 and E-verify requests.
Processes hourly unemployment compensation claim requests.
Prepares and distributes regular monthly/weekly reports including but not limited to change of status, pay changes, new hires, and turnover.
Assist in employee relations, including implementation of EEO policies - working with senior HR to investigate and resolve employee matters, including but not limited to harassment, discrimination, and other employment issues.
Ensure exit interviews are conducted for all staff that voluntarily terminate either face to face or electronically.
Manage updates and prepare dissemination of Organizational Charts
Timekeeping and Payroll Administration
Conduct initial new employee orientation for purposes of ensuring appropriate completion of payroll documentation.
Responsible for the accurate preparation, documentation, and processing monthly, semi-monthly and bi-weekly payroll for salaried exempt and non-exempt hourly employees.
Monitor time card approval and hold Managers accountable to ensure time card approval and FMLA (other leave) and PTO tracking.
Ensure time records are submitted, reviewed and approved as appropriate, and loaded into QuickBooks and/or similar system for payroll processing.
Process incentive payments and deductions as appropriate.
Processes garnishments for child support orders, tax levies and quarterly tax verifications.
Review the computation of pay and ensure the company payroll policies are in accordance with government regulations.
Set up payroll taxes, including state income and unemployment, and process adjustments.
Communicate any payroll issues with employees and respond to inquiries.
Research, investigate and resolve payroll discrepancies.
Responsible for ACA compliance and year end processing of 1095C for all employees.
Complete required year end work for W-2 preparation and distribution.
Assists with travel authorizations, expense reports and reimbursements as needed.
Explain employment benefits and general terms and conditions of employment to employees and department representatives; conduct initial new employee orientation for purposes of ensuring appropriate completion benefits documentation.
Administer and maintain company benefit plans and programs.
Process new hire enrollments, enrollment changes and terminations.
Ensure appropriate benefits pay deductions are processed through payroll.
Troubleshoot and assist with employee coverage questions or claims in coordination with third party administrator, carriers and vendors.
Inform and advise employees on benefits matters regarding eligibility, coverage and provisions, including the development of communication tools and programs to enhance understanding of Rennova benefits.
Ensure employer has proper processes in place to comply with FMLA regulations, and address employee and manager questions regarding FMLA.
Compile and maintain benefits records and documentation.
Responsible for open enrollment meetings, communications and benefit fairs.

Associates Degree in HR Management, Business or a related field
Bachelor’s Degree in HR Management, Business, or a related field (preferred)
Candidates with at least five (5) years HR, Payroll and Benefit administration or any like combination of education and experience may be considered.
Recent experience working in a corporate environment (preferred)
Minimum of four (4) years’ proven experience working in a Human Resources department
Minimum of three (3) years’ experience with payroll taxes, including the set-up of income and unemployment taxes in new states and processing adjustments
Minimum of two (2) years’ experience with benefit administration
Minimum of one (1) year customer service
Knowledge of federal/state rules and regulations (i.e., FMLA, Wage and Hour, COBRA 401(k), HSA, and FSA).
Experience with the use and development of Human Resources Information Systems (HRIS) and timekeeping systems
Experience implementing HR programs and best practices that support and drive strategic business initiatives
Experience with QuickBooks not required but preferred
Demonstrate the ability to handle pressure when attempting to meet deadlines and performance goals
Demonstrated ability to meet goals while working under limited supervision
Notary Public at time or hire or ability to become Notary Public in Florida
Discreet, able to handle confidential and proprietary information appropriately. High level of integrity
Strong organization skills, attention to detail, follow through and ability to meet deadlines
Strong/Advanced computer skills to include data entry, Word, Excel, Outlook and PowerPoint.
Ability to be comfortable with ambiguity and able to multi-task and quickly change between priorities as needs change
Must be willing to take the initiative to recommend changes and implement improvements.
Proven track record of reliability and responsibility.
