ESSENTIAL FUNCTIONS:

The responsibilities of this job include, but are not limited to, the following:

Support Benefit Administration

Review monthly invoicing and provide Benefits manager monthly reporting of costs

Assist employees and their families with the filing of Life and Accidental Death & Dismemberment claims as they arise

Process Tuition Reimbursement requests; validate documentation, liaise with payroll to process payment

Process Adoption Assistance claims; validate documentation, liaise with payroll to process payment

Liaise with benefit broker and vendors for Form 5500 401(k) completion and filing

Manage Leaves of Absence (LOA) / FMLA

Liaise with disability vendor, HRBP, payroll, employee and his direct manager

Calculate the amount of benefit premiums employee is responsible to pay during any unpaid leave and provide instructions for payment to employee

Manage claim until closed

Manage Workers Compensation

Coordinate 1st Report of Injury and liaise with HRBP, employee and his direct manager

Report claim to Workers Comp insurance carrier

Manage claim until closed

Complete OSHA annual reporting and ensure posted in all locations from February 1 April 30

Support Qualified Life Events (QLEs)

Ensure proper documentation is received for all QLEs

Approve QLEs in ADP WorkForce Now

Support Health & Welfare and Deferred Compensation Annual Enrollment

Coordinate enrollment periods

Liaise with ADP to update portal text, new rates and benefit plan changes for Active and COBRA enrollments

Perform portal testing to ensure all updates have been configured

Liaise with payroll to test benefit deductions prior to portal go live

Support the launch of enrollment with preparation and distribution of materials, liaise with and leverage external vendors

Coordinate with vendors on-site meetings and educational webinars

Monitor enrollment response and provide metrics

Liaise with payroll to audit and validate enrollment data

Support the Annual 401(k) Regulatory Requirements

Coordinate annual 401(k) audit with external auditor, respond to data requests

Coordinate annual Non-Discrimination testing with Fidelity, liaise with payroll for data requirements

Liaise with Fidelity and external auditor for Form 5500 401(k) filing

Support Wellness Program

Liaise with Cigna to understand and provide support to employees regarding the wellness program

Coordinate wellness events, posting/distribution of program materials to employees

Consolidate and report wellness program participation metrics

Support Benefit Communications

Coordinate with broker and vendors the distribution of required notifications to employees (HIPAA, ACA, Medicare, SBCs)

Serve as the 2nd level of contact for employee benefit questions (ADP/Vendors being the 1st level of contact)

Manage information and documents posted on benefit pages published to the company Intranet

Manage Global Mobility

Provide advice and support on all transfers (domestic and international)

Update all policies and processes

Manage mobility vendor schedule biweekly meetings to discuss status of transferees

Coordinate with tax vendor (Deloitte) to authorize tax preparation for transferees

Process all mobility invoices

Provide data to payroll for year-end W2 processing

Processing of all C&B invoices

Be the central point for all C&B PO/invoices

Liaise with Finance and global HR Budget holder for accruals and planning

Manage process for new vendors

Process all Benefits/Comp/Relocation invoices/POs on time

MINIMUM QUALIFICATIONS:

Bachelors degree in HR/Related or equivalent combination of education and experience

Very good analytical skills/problem solving

Experienced user of Microsoft Office, especially Excel

Excellent attention to detail

Strong presentation skills

COMPETENCIES/CONDUCT:

In addition to the minimum qualifications, the employee will demonstrate:

Strong customer service focus with ability to interact with internal and external stakeholders

Good communication skills and interpersonal skills

Willingness and ability to work with multifunctional teams both in country and globally

Capable of effective planning and priority setting

PREFERRED QUALIFICATIONS:

Employee benefit administration experience highly preferred
