Using sound judgement, the Employee Relations Specialist I provides consultative services to Company managers on a variety of issues related to motivating, coaching, and addressing performance and behavior concerns with their staff members. This position works with managers and employees throughout the Company to address concerns, resolve conflict, develop performance improvement plans, and involuntary terminations of employment, including reviewing and developing appropriate documentation. The Employee Relations Specialist I also assists with Unemployment and Drug and Alcohol Administration, and functions as back up to Leave Administration.  
 
The Employee Relations Representative I reports to the Employee Relations Supervisor and takes day to day direction from the ER Specialist II.  This position will coordinate with team members to ensure that any and all employment related information is obtained before working through the appropriate strategy with store management, including Lithia\u2019s Work Injury/Illness, Leave of Absence, ADA, and Worker Safety programs.
 
The Employee Relations Specialist reports to the Employee Relations Manager.
Job Description
ESSENTIAL FUNCTIONS AND DUTIES
 
Employee Relations - (90%)

Using strong HR knowledge, provide guidance and support to managers throughout the organization
Draft legally compliant discipline and coaching documentation with supervision
Draft, review, and make recommendations related to Involuntary Terminations with supervision
Assist managers in creating performance improvement plans and determining appropriate action plans
Evaluate each situation on a case by case basis, giving consistent, sound guidance and recommendations based on the circumstances of the situation
Assist with department monthly reporting insuring deadlines are met
Review and provide recommendations on HR policies, programs, and practices
Develop and maintain positive coaching relationships with managers throughout the organization and provide guidance and support in addressing employee development and disciplinary matters
Work with staff members and managers on disciplinary matters throughout the organization to promote consistency and working with staff members and managers to develop appropriate action plans to address employee behavioral and/or performance deficiencies
Consult with management and/or create documentation to ensure thorough files on all ER matters and confirm proper storage in applicable systems (Prolaw and/or OneNote)
Provide support to employees who request assistance (i.e., EAP guidance, etc.)
Consult and communicate with vendor on UI strategy and claims
Assist in conducting thorough, unbiased investigations into concerns brought by employees and work with appropriate management to get to a resolution
Complete and obtain thorough documentation needed for all concern files
Maintain appropriate paper and electronic files of all concerns
Participate with Senior ER team to identify and assist target locations in making improvements
Support implementation of new policies and procedures throughout the organization
Collaborate and/or create monthly reports that are complete, accurate, and delivered on time
Keep supervisor informed of all areas of responsibility
Keep abreast of industry trends and employment legislation, especially for California and DTLA sites
Conduct periodic People Practices training
Back up of all related areas of responsibilities as needed for other stores/regions
Other responsibilities and projects as assigned

General Functions \u2013 (10%)

Assist managers and vendor with Unemployment Insurance questions
Annual review and reporting of UI Vendor performance metrics
Assist dealership staff with post-employment drug/alcohol questions and processes
Assist with Last Chance Agreement process with direction from ER Manager
Function as back up to Administrator, especially related to Motor Vehicle Reporting
Assist with monthly and quarterly department reporting using Excel and proprietary software
Provide support and assistance throughout department as needed
Be available during normal working hours to assist managers over the phone and via email
Adherence to and support of Company policies as outlined in the Employee Handbook

This person will work directly for the Company\u2019s Employee Relations Team, and will need to collaborate with all team members in order to execute their assigned functions. This person will also be expected to live the core values of organization and department.

Keep information strictly confidential
Performance will be measured by the quality of consulting services provided in all ER matters as well as satisfaction of department managers with your consultation services
Engage and Collaborate to progress ER best practices throughout the organization

ADDITIONAL KNOWLEDGE, SKILLS, AND ABILITIES
The following knowledge, skills and abilities are needed to be successful in this position:

Strong knowledge of Employment Law
2 years\u2019 experience in Employee Relations, Employment Law, or Human Resources Generalist position
Strong attention to detail and sense of urgency
PC Skills including knowledge and use of MS Office (Excel, Word, Windows, etc)
Excellent communication skills both written and verbal
Active Listening \u2013 give full attention to the words and body language of others, take time to understand the points being made and ask questions as appropriate
Critical Thinking \u2013 using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
Time Management \u2013 ability to prioritize workload and manage one\u2019s own time

PREFERRED QUALIFICATIONS

Bachelor\u2019s degree from an accredited university in Business, HR, Organizational Development, Training, Communication, Psychology or commensurate experience
Strong ability to exercise independent judgment in decision making process and work independently
Strong knowledge of Employment Law 2 years\u2019 experience in Employee Relations, Employment Law, or Human Resources Generalist position
Strong attention to detail and sense of urgency
PC Skills including knowledge and use of MS Office (Excel, Word, Windows, etc)
Excellent communication skills both written and verbal
Active Listening \u2013 give full attention to the words and body language of others, take time to understand the points being made and ask questions as appropriate
Critical Thinking \u2013 using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
Growing & Learning \u2013 develop additional knowledge, skills and abilities with experience in the role
Strong ability to effectively communicate and overcome objections
Ability to work cross departmentally and exercise influence without authority
College level Human Resources coursework
PHR or SHRM-CP Certification

Physical Demands and Working Conditions

Physical Demands: Standing, walking approximately 1/3 of the time, sitting to 2/3 of time, reaching with hands and arms to 2/3 of time, communicate via telephone, email, and in person 3/4 of time or more
