Job Description The position reports into the Operations Manager, providing office support to staff (Redwood City and San Francisco) and end to end recruiting support for the recruiting organization. The ideal candidate is naturally curious (not just following instructions), a master of organization, and an influencer of OpenGov\u2019s culture. Office Support \u2022 Broadly support OpenGov\u2019s functions according to circumstances and needs. Adhere to best practices and expense control (i.e., travel rates, office supplies, catering, vendors, etc.). \u2022 Help manage OpenGov's daily office operations, ensuring our offices are welcoming to visitors and a positive reflection of our culture and team \u2022 Ensure team happiness through the management of food and office supply orders \u2022 Assist employees with various office issues (e.g. conference rooms, scheduling, supplies, incoming and outgoing mail, travel arrangements, etc.) \u2022 Assist the Operations Manager with office events; logistics, set-up and flow \u2022 Manage all incoming and outgoing mail and packages \u2013 greet and direct various office vendors and oversee deliveries Recruiting Support \u2022 Provide support to a team of recruiters and recruiting leadership; Coordinating recruiting efforts for OpenGov, from the recruiting process all the way to successful hire \u2022 Schedule high volume interviews (phone screens, phone interviews, video interviews, onsites) across multiple time zones \u2022 Reserve meeting rooms, onsite schedules and provide candidates with an amazing experience, including timely communication of updates on their status; Ensure the experience represents the OpenGov brand \u2022 Partner closely with the Recruitment team and Executive Assistants on complex schedules; demonstrate the ability to strategically solve any scheduling conflicts that arise, through prompt follow up and communication \u2022 Responsible for providing an \u201cinterview prep\u201d on each candidate for the interview team \u2022 Provide updates to candidates regarding their application\/interview status as needed \u2022 Partner with HR on new hire onboarding and logistics \u2022 Manage and maintain our Applicant Tracking System (Lever) to ensure proper recruitment steps are documented, workflows are updated, feedback is logged, job postings are accurate and compliant \u2022 Embrace a variety of internal and external software applications with the ability to learn new tools quickly \u2022 Assist in building excellent candidate experience and company culture, etc. Requirements \u2022 Bachelor\u2019s Degree or equivalent work experience \u2022 2-4 years of administrative experience (preferably with some exposure to executives and\/or clients) \u2022 Ability to adapt well under pressure and shift priorities with ease \u2022 Assertive, motivated and have excellent communication skills \u2022 Ability to prioritize and apply sound judgment \u2022 Team player with strong interpersonal skills \u2022 Partners well with others, develops & preserves positive relationships across org(s) while juggling multiple\/complex demands in a fast paced environment \u2022 Sense of humor and ability to work enthusiastically across organizations with diverse personalities \u2022 Remains calm under pressure with strong executive presence \u2022 Demonstrate strong attention to detail, accuracy, and be able to work effectively with minimum supervision, in a fast-paced environment \u2022 Extremely organized with the ability to work autonomously, take initiative and follow through \u2022 Reliable and accessible.
