Summary:
The Human Resources Assistant is a supportive role as part of the North America Human Resources team who are based in the U.S. and Canada, specifically located in Kansas City, New York, New Jersey, Chicago, Los Angeles, Orange County, Toronto and Montreal. This position focuses on all areas of Human Resources administration, processes and procedures, with a primary responsibility for the accurate and timely input of all data in various HR systems and electronic document management, new hire onboarding and coordination with various departments to ensure smooth induction for new starters.
Duties and Responsibilities:
HR Systems and Data
Responsible the accurate and timely input of all employee data across the various HR systems, ensuring that the systems reflect a source of truth that can be confidently used for current and accurate reporting data.
Work closely with the Rewards and Engagement team to run audits on a regular basis that validate accuracy of all data.
Produce and update a suite of HR reports and metrics (e.g. attrition, headcount, overtime, absence, diversity & inclusion, EEOC and other reports).
Produce accurate and timely bi-weekly payroll changes report with supporting documentation that is transmitted to Finance for processing payroll.
Update relevant information on HR intranet pages and internal communications platforms as needed.
General HR Administration
Oversee all on-boarding tasks, which includes background checks, conflicts checks, communication with new hires to provide appropriate paperwork, creation of electronic personnel and other files, completing I-9 forms, creating orientation agendas, scheduling orientation meetings with various HR and IT team members, sending notifications to relevant parties to notify of new hire and coordination of set-up.
Coordinate off-boarding tasks, which includes scheduling exit interviews, electronic filing of documents in personnel files, transfer of file to terminated files, tracking of exit interview feedback and data, sending notifications to relevant parties to notify of departure.
Assist Rewards and Engagement team as needed with various tasks to support benefits and ADP processes.
Assist with creation and cataloging of job descriptions, working toward a complete and comprehensive job description library.
Assist HR team with various administrative tasks, including scheduling, running reports from various systems, filing, organizing meetings, sharing ideas for employee engagement activities and events.
Other HR duties as assigned by the HR Manager.
Education and Experience:
BA/BS in business, HR or similar focus of study.
One to three years' experience in a similar HR administrative/support role, with a genuine desire to work and develop their career in Human Resources.
Be highly numerate, with confidence in producing and analyzing data and statistics.
Be highly literate with technology and demonstrate the ability to learn new systems quickly and work proficiently in Microsoft Office 365 at least an intermediate level.
Excellent interpersonal skills with an ability to communicate effectively across all levels of the Firm, both internally and externally.
Exceptional attention-to-detail and organizational skills, with keen time management skills to meet strict deadlines and manage competing priorities.
Be self-motivated and proactive individual with high level of initiative.
Demonstrate the ability to be flexible and adaptable in a fast-paced, ever-changing environment.
Demonstrated ability to think creatively and outside the box, challenge the status quo, introduce new ideas and apply innovative solutions.
Be confident in written and oral communication skills.
Be highly trustworthy and to treat all information as confidential and sensitive at all times.
Experience with HR/payroll systems, specifically ADP Workforce Now strongly desired.
