The Career Opportunity: Human Resources Coordinator Under the general guidance and supervision of the Human Resources Director and within the limits of established IHG policies and procedures, provide assistance to the HR Team and assist Internal and External Guests with Human Resources support. Responsibilities: * First point of contact for Internal and External Guests * Provide a warm, inviting welcome and assistance with employee inquiries * Distribute messages, mail and faxes * Answer telephones within three rings * Prepare employee IDs and Nametags * Assign lockers as required * Distributes and maintain accurate record of lockers and locks. Working with Executive Steward to perform bi-annual locker inspections/audits * Prepare the daily Winning Ways, listing employee Birthdays, Anniversaries and HR related information; posting Daily on the HR Information Board * Prepare New Hire Packets * Maintain and update benefit information * Receive employee Service Award Packets and distribute gifts as they arrive * Distribute Monthly Birthday and Anniversary Lists to department mailboxes * Prepare monthly birthday cards (one month in advance) and distribute to the Executive Committee for their signature. Distribute daily birthday cards to Department Manager * Maintenance of Personnel & Confidential Files in compliance with IHG standards * Respond in a timely and confidential manner to all employee requests and concerns while ensuring compliance to federal, state and local laws and regulations. Bringing all sensitive employee related information to the attention of the Director of Human Resources * Maintain the employee bulletin boards * Responsible for ordering office supplies and flowers for different occasions * Make personnel files, including confidential file * Maintain employee records, files and various Human Resource office systems to ensure compliance with government laws and regulations * Process forms and responds to written inquiries regarding verification of employment in a timely fashion to ensure that liability is minimized * Maintain a positive working relationship with managers to ensure timely and accurate completion of all necessary paperwork * Responsible for filing all documents that pertain to employee personnel files i.e., PAFs, DAFs, Policy Acknowledgements, Benefit information, etc. * Assist with other duties, tasks and special projects as assigned Qualifications: * 4-year college degree in Human Resources or equivalent years of HR experience, preferably in a hotel setting * Proficient in Microsoft applications i.e., Word, Outlook, Excel, Power Point and Publisher * Proficient in English both verbally and written, Bilingual preferred Skills & Abilities: * Ability to promote positive relations with all individuals who approach/call the HR department; understand employees inquiries and provide responses in a timely manner * Ability to maintain confidentiality of all information * Capability to answer all phone calls using the proper phone etiquette * Communicate pertinent employee information to designated departments/personnel * Proficiency in filing and maintaining filing system * Ability to focus on employees' needs, remaining calm and courteous * Ability to think clearly, quickly and make concise decisions * Ability to prioritize, organize and follow-up * Ability to work well in a fast-paced environment with minimal supervision * Must be conscious of culture differences * Ability to focus attention on details * Must be able to maintain a highly positive and friendly image that will reflect well on hotel's overall appearance * Excellent organizational and communication skills What's your passion?
