The Department of Medicine - Division of Allergy and Infectious Diseases

(AID) has an outstanding opportunity for a Payroll Coordinator - Budget Fiscal Analyst (BFA)

. The BFA reports to the Division’s Human Resources Manager and is the primary contact for the Division payroll. The BFA also supports Division operation budget analysis and reporting. The Division currently consists of approximately 98 faculty, 35 fellows, and 165 staff and students and has an operation budget of about $18.5M per year. The Division of AID has the largest research portfolio in the Department of Medicine (DOM) and faculty and fellows have active basic and clinical research programs as well as participate in clinical care at UW Medicine.

The BFA is responsible for providing payroll and budget analysis and support for the Division. Under the general direction of the HR Manager, this position will perform a variety of HR support functions. This position will serve as the primary payroll contact and will perform data entry and management of associated human resources records.

The BFA also works with Division Administrator and finance team to perform analysis of Division operations budgets. This position provides oversight and guidance on policies and procedures related to the Division’s payroll and operations budgets. The BFA will assure compliance with UW, Federal, State, SOM and AID guidelines to perform duties for payroll, record keeping, invoicing, auditing, analysis and other fiscal operations.


Payroll Coordinator

Maintain personnel and payroll records in Division shared electronic files

Process payroll in WorkDay HR system as per UW and DOM schedule

Review time and absence process in WorkDay for timeliness and accuracy and follow up with personnel and supervisors as necessary

Set up new position requests, position requisitions, manage appointments, and separate employees in WorkDay

Prepare bimonthly analysis of payroll allocation and appointment end dates. Communicate with appropriate payroll contacts to assure accurate payroll each pay period.

Enter funding (“allocation”) changes into WorkDay for all AID personnel

Ensure accuracy of personnel and payroll action documents

Communicate with appropriate faculty and staff to obtain needed information

Monitor and manage the payroll system and dedicated email account daily to ensure questions and requests are processed accurately and in a timely manner.

Work with HR Manager to provide AID onboarding assistance to all new employees.

Work with employees and HR Manager to assure off-boarding is completed.

Assist HR Manager with leave processing and assure that documentation is appropriately retained.

Fiscal Support

Manage use of AID WorkDay default and AID Temp budget use assuring that charges are moved to the appropriate budgets in a timely fashion.

Provide analysis and at least monthly reporting for Division operation budgets. Work closely with Administrator to project operational changes impacting budget.

Prepare quarterly budget analyses for a variety of Division operating budgets. Communicate results and follow up on needed action items with Administrator and financial team.

Prepare OSETs and expense transfers as directed by Manager

Provide process improvement suggestions for transition to, and maintenance of payroll system ( ‘WorkDay’)

Assist with other administrative duties as needed

Bachelor’s degree in accounting, business administrator, or a related field and two years’ experience as a Fiscal Specialist or equivalent education/experience

Additional Requirements:

Working knowledge of Microsoft Word and Excel

Strong attention to detail

Able to follow-up and assure accurate completion of tasks.

Excellent communication skills – both written and verbal

Ability to work well in a team as well as independently

Excellent customer service skills

Ability to problem solve

Excellent organizational skills


Working knowledge of UW administrative computer applications WorkDay, MyFD, UW, Enterprise Data Warehouse (EDW)

Experience processing payroll at UW or other large organization.
