Human Resources Coordinator
Under general supervision, performs a variety of support and administration activities for the Human Resources (HR) Department with an emphasis in Leaves of Absences, Prevention and Safety Program and Workers Compensation. Performs day-to-day operational type duties in a fast-paced environment and will assist in establishing the company as Employer of Choice,” promoting a culture that encourages our Vision, Mission, and Core Values. As a key member of our highly engaged HR team, provides a consistently high level of service and responsiveness through various communication channels (telephone, email, internet, in-person) for all levels of Employees as well as outside vendors. Participates in committee assignments and handles small projects from beginning to end. Effective time management, attention to detail, accuracy, ability to maintain confidentiality and prioritization is the key to success in this position
The Human Resources Coordinator, in the course of performing their minimum essential duties, will have responsibilities that include:
Leaves of Absence (25%)
Coordinates all LOAs communications with employee, manager, medical providers, HR legal counsel, and other parties to insure outstanding employee relations.
Prepares leaves of absences (LOA) paperwork and accrual information for payroll processing
Develops employee communication pieces including FAQs
Develops training on LOAs to insure compliance
Workers' Compensation (15%)
Knowledge of the WC process including reporting, training and process.
Participates in the C-U First Workers Compensation Insurance Captive
Coordinates communications with employee, manager, medical providers, HR legal counsel, and other parties
Processes workers compensation claims, maintains records and updates files of injured workers. Coordinates communication with employee, supervisor, insurance company and doctors, under HIPPA guidelines.
Total Rewards & Payroll – review all WC payroll records for accuracy. Coordinates between ADP and other agencies including payment coordination and verification audits.
Prevention and Safety (15%)
Develops an annual Prevention and Safety Calendar and a strategic safety plan
Holds regular meetings for the Safety Board and Coordinators
Ensures that is involved with CPR, First Aid, and Blood Borne Pathogen training – including introduction of AEDs
Participates regularly in General Staff Meetings to keep safety top of mind
Works collaboratively with others on the Safety Board to utilize strengths and talents of the Board.
Participates as the representative from HRD in Business Continuity Planning
Lead the bi-annual C-U First Risk Assessment and Audit
HR Coordination (15%)
May assist HR Specialist(s)
Employee files. Maintenance and accuracy of all records including HRIS, electronic and paper files
HR Connection and Life Events Program – coordination and support
Job Descriptions – accurate and insure posting on the Portal
General questions and answers to inquiries, typically from employees.
May assist HR Specialist in the recruitment function for our routine openings and positions, including but not limited to writing and posting job ads to internal Portal/ intranet, outside job boards, League website, and other sources which will notify the community of open positions. May assist HR Specialist(s) in special recruitment assignments.
Maintains compliance with federal and state regulations concerning employment, recruitment and posting requirements and Human Resources best practices
Benefits/Total Rewards (5%)
Maintain knowledge of Benefits/Total Rewards
Coordinates materials and forms, taking the necessary actions
General questions and answers
Update materials as necessary to remain accurate
Assists with Open Enrollment rollout for all benefits
Processes all invoices and billing (back-up)
Payroll Callbacks – to insure accuracy in payroll processing
Run reports as needed to assist with questions and preparation work for HR Administration
Payroll input . Follow-up on questionable items or errors. Escalate issues as necessary (back-up)
Timecard preparation. (back-up)
Coordinates small projects, typically Employee activities and events. Attends other meetings, webinars, and seminars as needed.
Employee Discounts – point of contact (i.e., movie tickets)

Point of contact for HR/LD supplies

Sends out communication to staff for recruitment, terminations, and other HR initiatives.
Coordinates HR Calendar of events
Reviews reports and edits as requested (i.e. Board of Director reports, applicant tracking, etc.)
Other communication (Passageways Portal, e-mail, compliance, labor posters, etc.) Maintains accuracy and updates as needed.
Must be professional and maintain confidentiality at all times
Other Duties/Responsibilities (5%)
Trains for and assists as needed in other HR positions, specifically recruitment, assessments, orientations, onboarding, payroll, and benefits (back-up)
Assists with routine unemployment insurance claims responses
Point of contact for HR/LD repairs and LD Center supplies
Completion of all Financial Compliance training as specified for your position. (See Compliance Matrix located on Portal/Inside /Compliance.)

QUALIFICATIONS / REQUIREMENTS
The level of education and/or experience needed to successfully accomplish the minimum
essential responsibilities of the position.
High School/ GED. Interested in or pursuing Human Resources as an area of interest and/or career.
Good working knowledge of human resources practices from working in a HR department or an administrative position for 1- 3 years.
Ability to perform the essential functions of Human Resources as listed in the Essential Responsibilities area below.
Ability to work with all levels within/outside the Credit Union using proper business etiquette and business writing skills.
Sound judgment, good interpersonal skills, professional demeanor, knowledge of State and Federal laws, responsive, good follow-up, detail oriented. Ability to maintain confidentiality.
Working knowledge and use of Windows, Microsoft Outlook, Excel, Word and PowerPoint.
Good verbal and written communication skills required. Spelling, grammar, word usage, and punctuation. Comfortable with presentations and use of PowerPoint. Knowledge of the internet and other HR resources. Comfortable with technology.
Thinks independently, ability to problem solve through others. Ability to handle routine matters and rarely escalates matters to next level.
Ability to follow-up on assigned tasks to ensure timely completion, meeting compliance and deadlines with minimal supervision.
The level of education and/or experience
preferred in order to successfully accomplish the essential responsibilities of the position is:
Associate's degree or equivalent two-year college/trade/certificate program with an emphasis in Human Resources.
Very good knowledge of human resources practices from working in a HR department for 3 years or more.
Payroll knowledge including benefits (familiarity with ADP)
Financial Institution experience
Human Resources certifications (or related) in progress
