Motlow State is the fastest growing college in Tennessee. We are located in the beautiful rolling hills of middle Tennessee and have four campuses that serve students from eleven counties. High School Diploma or Equivalent. One (1) year of clerical experience and working knowledge of computer applications including word processing and spreadsheet preparation desired. Excellent written and verbal communication skills required. Working knowledge of HR Banner system preferred.
Employees in this category are under general supervision. Work performed in executing difficult clerical, accounting or auditing work.Provides office support for the Office of Human Resources as outlined below.
Major Duties and Responsibilities:

Operates independently and with limited direction in an office involved in providing services to students, student and regular employees, and the community to perform clerical and accounting tasks.
Prepares new hire orientation materials and helps organize orientation dates and activities.
Assembles all new hire documentation and performs initial data entry and scanning of all personnel transactions into Banner and Access database.
Assists in gathering and preparing documentation for P-080, THRC, EEOC, and OFCCP investigations.
Assists in gathering and preparing documentation for the annual IPEDS report.
Serves as contact person for departments and employees concerning leave accruals and balances as maintained in each employee s leave record.
Monitors and approves annual, sick and comp time using Web Time Entry.
Composes monthly annual leave reports for auditing intent, reconciles monthly leave balances, and provides fiscal year-end reports.
Maintains compensatory time authorizations, verifies usage, and sends requests for payment to the payroll office monthly.
Maintains copies of records for Faculty and Staff sick leave bank. Prepares documentation, enrollment, and coordinates reports to the Sick Leave Bank Chairs for faculty and non-faculty sick leave bank.
Maintains records management, retention and purging of records in compliance with TBR G-70.
Maintains and scans all archived personnel records.
Verifies address information with employees for all returned W4s and maintains records for auditing purposes.
Obtains authorization as needed, documents, and completes employment verification for external groups.
Assists with organizing employee functions and actively participates in Motlow activities.
Assists with providing applicants with employment status notification.
Serves as back-up for preparation of outgoing mail and distribution of incoming mail.
Handles general office duties such as answering telephone daily, and maintains a working knowledge of duties and rapport with all offices on campus for referral/interface.
Other duties as assigned.
