Organizational Development Assistant (R18-316)This position performs a variety of varied and complex clerical and administrative functions in support of the Organizational Development (OD) team and in particular the General Manager of Talent Management. Exceptional writing skills and excellent note taking abilities are essential to this position. Special duties will be performed as required in order to meet the business needs of the OD & Talent Management organizations. Typical responsibilities include: Provide support primarily to the General Manager with a focus on scheduling meetings and Board commitments, file maintenance and drafting memos. Follow up and track the tasks assigned to the General Manager and make sure deadlines and commitments are being met. Process payment of bills (TARs, purchase requisitions, vouchers, etc.) and track expense accounts, vouchers, purchase requisitions and maintaining and reconciling monthly budget reports. Set up and maintain Purchase Orders. Compose, draft and edit correspondence and memos. Support the development of workshops and other initiatives through editing and creative assistance in development of materials. Create tables, charts, graphs, and assemble other information to provide support. Perform administrative tasks such as copying, mailing, answering phones, maintaining department files and personnel documentation. Assist in budgeting process. Track all expenses made using the Purchasing card and reconcile statement monthly. Use the Sharepoint program to develop and maintain the Talent Management Scorecard, track and prep for staff meetings and department action items. Take minutes at all staff meetings and Team Days and solicit and create agendas. Create and maintain department files. Training events, Program coordination and Board support Support the General Manager with Board and Officer meeting scheduling, material preparation and event coordination. Coordinate reservations, scheduling, set up, material preparation, equipment ordering and catering for events. Handle mass mailings, confirmation memo/program information to participants, and payment processing for the employee and management training programs (NEO, IPL, LEGT, EQ programs, ALDP, etc.) that are facilitated by the Organizational Development consultants. Maintain and administer the lending library - tracking, checkouts, and ensuring that items are returned intact and promptly. Schedule, reserve, and set-up rooms, order catering and equipment for Diversity training programs. Bring the following skills to our team: Excellent organizational and human relationship skills, with strong ability to work with a variety of people: internal clients, customers and external vendors and suppliers. Excellent writing skills, knowledge of grammar, spelling and business correspondence composition. Provide self-initiative and directions within established procedures. Working knowledge of corporate budgeting process and reports. Advanced clerical skills and thorough knowledge of computer applications such as: Word, Outlook, Excel, PowerPoint, Adobe and FrontPage. Knowledge and experience with Microsoft Sharepoint preferred. Effective keyboarding, filing, office equipment operation and standard office procedure skills.
