Job Description:
Job Purpose:
The HR Project Advisor role is intended to:
• Undertake the service and support of giving resolution to approximately 26,000 recruitment-related simple and complex queries through the end to end model utilized by HR Services while ensuring that workload is managed effectively and that standards of customer service and performance meet stated KPIs.
• Execute simple and complex Kenexa maintenance activities and processes, in line with existing policies and procedures, assuring high quality data management, as well as documentation, including on-going support to candidates, recruiters and other relevant stakeholders.
• Be responsible for liaising with all relevant stakeholders such as Assessors, HR Account Managers, Hiring Managers, HR Advisors, Recruiters and other supporting teams to ensure the timeliness and a high-quality recruitment journey for the candidates.
• Be responsible for recruitment process documentation and assure high-quality data management.
Principal Accountabilities:
Primary accountabilities include but are not limited to:
• Accurate execution of the Recruitment Processes in line with existing policies and procedures, assuring high quality data management in Kenexa and other resourcing systems such as HireVue, Cubiks, Avature and Shell Talent Community to maintain the integrity of data and reports
• Manage cases according to established ways of working by using the Salesforce tool to log queries and updates, create tickets and ensure closure of tickets to aid effective Work In Progress management, keeping customers updated on the status of open cases.
•Maintain system and process training documentation
•Assist with new system functionality testing
•Responsible for creation & logging of new user accounts
•Responsible for logging/tracking problems reported by users and creating business cases for system and process change requests
•Provide assistance on Global Operational Excellence projects
•Provide a high level of customer care and troubleshooting experience
•Conduct root cause analysis on data quality issues
•Proactively monitor process and system usage and run refresher training with user community where required
•Lead regular meetings with user community to share insights
•Act as backup for other team member
•Act as guardian of SharePoint site and maintain distributions lists, as required
• Manage cases according to established ways of working by using the Salesforce tool to log queries and updates, create tickets and ensure closure of tickets to aid effective Work In Progress management, keeping customers updated on the status of open cases.
• Takes ownership of end-to-end processes by acting as a country or process focal point, handing-off cases to other teams in HR Services as required, liaising with Recruitment and HR partners and dealing with third party service provider as required in order to resolve cases to be equipped in providing input for Knowledge Management within the team (including creation and ownership of documentation/job aids).
• Meets established KPI’s and best practice response time by building partnerships with HR Partners (Recruiters, Coordinators, Marketing, HRitC, HRitB, GOS and other HR Services teams) by clarifying policies and procedures, giving and asking for updates on case status, gathering missing data necessary for case processing, identifying best practices and knowledge sharing and timely escalation of complex queries to senior advisors, SME’s and policy teams to ensure proper resolution is provided within prescribed timeline.
• Adhering to the Global Approval Matrix (GAM) and Data Privacy rules by strictly monitoring all controls in place on a daily basis and sharing best practices within the team for continual improvement in service delivery, participating in improvement initiatives.
Job Knowledge, Skills & Experience:
• Tertiary qualification – preferably in HR or Business Administration.
• Preferably, with HR/Recruitment Experience
• Experience in working with confidential and sensitive information (e.g. employment documentation) and maintaining integrity of data with high level of accuracy and attention to detail.
• Proficiency in Kenexa, Microsoft Office, is an advantage.
• High level of personal accountability to manage and resolve issues raised by candidates, recruitment, hiring managers, local HR in a quick and effective way.
• Problem solving attitude with a pragmatic approach – know who to contact when and be able to take the decision to deviate from the standard if required.
• Able to communicate with candidates and stakeholders at all levels of the organization.
• Able to actively participate in planning/prioritisation of own work.
• A strong self-starter, well organised with proven ability to prioritise and deliver to deadlines in a fast-paced environment.
• English (Good command, both written & oral).
