Profile

First point of contact for all facilities and office related issues   General Responsibilities – Office Management:

Conduct a weekly inventory of office supplies, kitchen supplies and order as needed
Maintain cleanliness and orderliness of kitchen, supply room, restrooms, copy room and meeting rooms
Responsible for stocking delivery items in the kitchen and supply areas
Responsible for ordering and maintaining office furniture such as chairs, desks, bookshelves. Responsible for overall “look” of office. Provides assessment of Company needs in terms of physical space, facilities and equipment
Sorts and delivers incoming mail and packages (FedEx and UPS)
Assist with office meeting catering; including pick up of food items if needed (will require reliable personal transportation)
Provide Ergonomic Assessments to employees when requested
Works with HR Department to assess compliance with all safety and security issues.
Responsible for being on the premises as the emergency contact person during business hours and may be called upon for after-hour emergencies
Available for company errands

Plans and executes office events such as on and off site parties and internal company meetings. Is responsible for set up/clean up and general coordination of events with any external vendors

  General Responsibilities – Facilities Management:  

Assists in the development and implementation of facilities related policies within the office
Serves as the site contact for the vendors and building maintenance staff
Oversees security access and manages the distribution of card key badges
Places service calls for office repairs when necessary (janitorial, electrical, plumbing, etc.)
Monitors facilities budget expenditures (food, office supplies, events), makes recommendations for future budgeting, and compiles necessary information to assist in budget preparation to the VP, HR
Work with various vendors and negotiate prices as needed
Conduct monthly office safety inspections and attend quarterly Safety Committee meetings
Assists VP, HR with space programming and planning. Coordinates office moves including any furniture relocations/orders
Work closely with Human Resources by assisting with new employee set-up and exits

   Skills Required   

Requires a thorough knowledge of facilities management practices along with business ethics, security procedures, and space planning needs
Vendor management/vendor negotiation experience
Working knowledge of mission critical equipment such as HVAC, UPS, Generator, Switchgear, etc.    
Responsible for daily office maintenance including changing light bulbs, cleaning up spills, kitchen clean up, etc.
Demonstrated analytical and problem solving skills
Outstanding organization, time management and resource management skills.
Exceptional ability to problem-solve effectively and to be very detail-oriented
Possesses a positive “get the job done” attitude and remains flexible to our ever-changing environment
Technical expertise as it relates to facility management
Responsible for managing employee badge issuance
Responsible for bill payment invoicing
Responsible for all event planning and coordinating
Vendor management including copy machine
Responsible for new hire orientation
Proficiency with Microsoft Office Products including Excel, Word, Project and PowerPoint
Familiarity with AutoCAD, Visio, SAP and Concur are a plus
HR experience a plus
CPR and Ergonomic Certified a plus
Must be able to lift over 25 lbs without assistance
Must be able to stock supplies overhead and at floor level
Moderate travel required (10% - 25%)
