The Recruiting Assistant will be responsible for providing strong, independent administrative support to the recruiting team (“Team”). The employee must be capable of working independently, using good judgment in a fast-paced environment with time-sensitive materials and maintain strict confidentiality due to the nature of the position.
Essential Duties:
•Provide strong administrative support to the Recruiting Team including, but not limited to, scheduling interviews, calendaring, invoices, expense reimbursements, travel arrangements and greeting candidates
•Schedule meetings and ensure all a/v, catering, and meeting room, including virtual needs are set-up for interviews, meetings, and orientation programs
•Plan and coordinate new team member orientations, collaborating with teams across the Firm and offices
•Correspond with candidates to collect all pre-hire information and paperwork
•Interact with new hires to meet all onboarding needs, including pre-hire paperwork and new hire gifts as appropriate
•Process invoices and expense reports
•Input accurately and manage data in multiple databases, including viEval, viRecruit, IceLearn, Smartsheets, Metastorm, ADP and any future programs adopted by the team
•Set up interview feedback links, send to interview team and ensure all feedback is submitted timely by conducting follow-up as necessary
•Create and disseminate surveys and feedback requests, and analyze survey results
•Draft offer letters and fee agreements as requested by recruiting team members
•Provide excellent customer service to internal clients, prospective candidates, and other professionals throughout the Firm in responding to questions and concerns regarding the Team’s activities
•Learn any technologies adopted now or in the future to manage Team programs such as virtual interviewing platforms and video editing software
•Produce regular reports from databases and provide in readable, useable formats
•Meaningfully contribute to improvement of Team’s programs, policies, and procedures
•Provide back-up support to the Recruiting Coordinators and Professional Development Assistant as needed
•Assist with various research projects/special projects as requested
Minimum Requirements:
•High school diploma required; Bachelor’s degree preferred
•Prior experience in customer service
•Committed to professional growth and continuous learning
•Strong attention to detail
•Strong written and verbal communication skills
•Ability to research and analyze various types of data
•Ability to coordinate projects and operate under tight deadlines
•Strong interpersonal skills to communicate with a diverse group of people
•Ability to maintain confidentiality and demonstrate a high degree of diplomacy
•Strong Microsoft Word and Excel skills and ability to learn other computer programs quickly
•Ability to perform all essential duties
