Job Description:
General Summary:
Coordinates service activities across multiple sub-disciplines of a comprehensive human resources department. Performs various tasks and employee services in areas such as employment, compliance, data management, benefits, and performance management, and provides general coordination of departmental leaders in each area. Serve as department's initial point of customer service contact at front desk and via email/phone questions. Assists SPU employees using general knowledge of HR policies, benefits and employment resources. Trains and directs student office assistant(s) responsible for various tasks of office operations, records maintenance, and other duties in support of the day-to-day management of the HR office.
Job Duties:
Office Management: In coordination with HR student office assistants, responsible for data entry, copying, scanning, filing and other duties in support of other office staff, distribute incoming mail daily, daily review of messages left overnight and respond to requests for information, or forward messages to appropriate staff person, making daily campus inter-office deliveries, posting notification of office closures, building maintenance requests. Oversees office supply inventory monthly (or as needed) and emergency supplies (annually and as needed). Greets visitors and answers phones. Handles general questions in person, via email and directs calls and questions to staff members when appropriate.
Coordinates hiring, training and supervising of HR student office assistants. .Assists Assitant Vice Presiden of HR, (AVP HR) in monitoring student employee budget for HR.
Assists with the annual Celebration of Service event by participating on the COS committee. Helps with event management such as catering, sound system, room reservation, etc. In coordination with the student office assistants, oversees wrapping of Years-of-Service gifts.
Oversees personnel file management for employees. In coordination with student office assistants, creates new employee files, maintains current employee files including I-9's and managers termination file process. Follows-up on tracking for new employee required training and document checklists. Directs student office assistants in completing daily and occasional project filing, processing files for terminated employees, maintaining current records purge process.
Oversees process of Employment Verifications in a timely manner. Most EV's involve directing third parties and internal employees to I2Verify for the processing of these requests.
In coordination with student assistants, prepares New Employee Orientation Packets for employee's first day. Meets with New Hires to go through the First Day packet, including completing first day paperwork (I-9). In coordination with student assistants, sets up Performance Evaluations due each month, and assists with reporting when necessary.
In coordination with student assistants, processes adjunct and overload contracts for current and new employees and processes Non-Pay Employee forms. Handles general employee information updates in Banner as well as address changes with retirement or other benefit plan vendors (including address searches on returned mail).
In coordination with student office assistants, prepares orientation packets and conference room for new employee orientation. Assists with special events such as Open Enrollment, Retirement Readiness Seminar, Transamerica rep campus visits, and other special projects/events as needed, including participation in Wellness programs and activities.
Assist AVP HR with management of files, scheduling meetings, budget tracking, P-Card reclass, requests for payment processing, and special projects and events as requested. Assists AVP HR with tracking/logging ESD unemployment records and processing quarterly payments.
In partnership with the Assoc Dir/HRIS, manages the HR website using Confluence, and other vendor websites such as Interview Exchange and Skillsoft. Assists with creation of forms through Adobe, Formstack and other writable web forms.
Requirements:
Bachelor's degree or commensurate professional experience in human resources, education or business. Bachelor's degree, preferred.
2 or more years of work in an office setting, preferably with HR related experience. Previous supervision of students or other staff.
Motivated by providing excellent customer service through great attention to detail. Gracious spirit exhibited towards all employees.
Enthusiastic commitment to mission of SPU, and dedication to Christian principles of service to others.
Proficient with Microsoft Office suite, including Outlook, Word, Excel and Sharepoint. Experience with AdobeSign.
Ability to maintain confidentiality.
3-5 years experience in office managnement and higher ed experience, a plus.
Knowledge of/experience with SPU's BANNER information system; familiarity with Access data base software a plus. Familiar with MS Word and Excel, ability to process merge mailings, preferred.

Salary: $26.44 - $29.80 hourly, DOE
This is a full time position with excellent benefits. SPU pays the employee premium for medical, dental, and vision insurance.
