Human Resources Shared Services (HRSS) HR Shared Services is the consolidation of business operations that support the transaction work activity of day to day work flows within Human Resources. These work flows connect processes throughout the entire life cycle of an employee including but not limited to - new hire onboarding; benefits; leave of absence, transfers and terminations. The work environment is fast paced with competing priorities. In HR shared Services at Virginia Mason, there are 3 teams of service delivery – the Administrative Support; Service Center and the Specialist team. The right candidate will be highly organized; enthusiastic about service, ability to work independently; able to critically think and problem solve, and have above average computer skills in outlook; word, excel, and power point. Human Resources Administrative Assistant II The purpose of this role is to support departmental administrative needs of HR and the various programs and process deployed by HR. This is a position that provides a wide exposure to the multiple programs and services that Human Resources delivers and a great opportunity for interested candidates to develop a career in HR.Prepares, creates, proofreads, edits content and format of documents and presentation materials using broad based software utilization skills. Composes, signs and releases correspondence.Coordinates events, meetings, travel and/or conference schedules, making arrangements as necessary. Prepares meeting materials. Resolves conflicting demands.Screens, directs and responds to incoming calls and inquiries. Interprets departmental policies and procedures. Compiles, gathers and maintains data for department specific databases. Generates and distributes reports. Reconciles expenditures, ensures payment of accounts and updates budget information. Coordinates or provides assistance for department specific projects. Prioritizes, distributes and/or takes action on mail; may also process time cards.Other Duties:Building HR relationships throughout the organizationParticipate in meetings/work groups as neededOther general administrative duties as neededOther duties as assigned. High school diploma or GED.This position requires a minimum of 3 years directly related work experience.
Demonstrated initiative and independent judgment in non-routine matters.
Demonstrated advanced level of proficiency with MS Office.
Excellent verbal, written (grammar) and time management skills.
Will need to have the ability to delegate task and work independently while being self motivating.
Experience resolving conflict is also required.Specific experience in
department and medical terminology may also be required. Advanced
secretarial courses preferred.Preferred Qualifications
3 years of customer service experience
preferred
Demonstrated experience in maintaining highly sensitive and confidential information
Excellent communication skills,
verbal and written
Possess the ability to organize
and prioritize to meet deadlines
Have a professional,
enthusiastic, and approachable demeanor
Intermediate to advanced skills
in Word and Excel, Outlook, calendaring; and PPT.
