Position Overview
The Leave Coordinator supports all leave of absence types by providing guidance through the process, coordinating communication between associate on leave and their manager, and returning the associate to work. In addition, this role will be point person for case management related to COVID-19 incidents and compliance inquiries, responsible for ensuring data accuracy, compliance, and inquiries are answered in a timely manner.
Primary Responsibilities
Communicates with associates regarding needs for leave of absence (types including jury duty, bereavement, workers compensation, medical, personal, or otherwise approved by **MEMBERS ONLY**SIGN UP NOW***.) and/or modified work schedules to ensure that associates are aware of their responsibilities and documentation/notice required for leave.
Handles the FMLA leave administration process from initial notice of the need for leave to the return to work, including gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
Maintains consistent communication with associates on leave to facilitate smooth and timely return to work and relays communication between the associate and manager during leave.
Maintains complete and accurate records of leave and accommodation requests and all correspondence in accordance with applicable legal and state law requirements.
Respond to all Covid-19 related incidents and provide guidance on next steps, elevating to appropriate individuals when necessary.
Maintain up-to-date knowledge of federal, state, and local leave of absence and COVID-19 guidelines.
Perform a broad range of administrative tasks related to COVID-19 incident and compliance inquiries including answering a high volume of phone calls, responding quickly to email correspondence, processing and maintaining documents, data entry, and other administrative tasks.
Support contact tracing tracking and/or identifying contacts if needed when positive cases are identified.
Monitor, audit, and update the ClearPass (HealthBox) Covid-19 vaccination card/test tracking platform.
Support data reporting requests for various leaves on a regualar basis.
Maintain a high level of professionalism within each setting.
Maintain confidentiality of associate leave, case, vaccine or testing records.
Liaise with off-site and local operations locations to ensure compliance with pending leae and Covid-19 standards.
Perform other duties as assigned.

Proficiency in Microsoft Office.

Ability to read, write and speak the English language to communicate with employees, peers, vendors, in person, on the phone, and by written communications in a clear, straightforward, and professional manner.

Strong flexibility in working with a variety of work styles.
Knowledge of HRIS systems (e.g. Paylocity) helpful.
High computer literacy including strong experience with Microsoft Word, PowerPoint, Excel, and Outlook is required.
Sense of humor.
Education & Experience
Education:
High School Diploma Required.
Associates degree in HR, management, employee health, or related field Preferred.
Experience:
2-4 years of HR and/or benefits administration experience required.
Proficient in Microsoft products - Excel, Word, PowerPoint.
